Clocking Systems: The Right Data Capture for Your Environment

Clocking systems only work if they suit the environment they’re used in. Different workplaces need different approaches, whether that’s touchless clocking, rugged outdoor terminals, or simple card-based entry. Getting the capture right is what makes the data reliable.

The reality today

Paper timesheets get lost or falsified. Buddy punching inflates payroll. Basic clocking systems fail in harsh environments. Cards get lost or shared. When the network goes down, you lose data. You need reliable data capture that suits your specific environment.

The Solution

Clocking systems record attendance using the method that fits how and where people work. Biometric, card, and touchless options can be deployed side by side, data is stored safely even when networks fail, and every clocking feeds into the same system for consistent processing.

Right Technology

Facial recognition, fingerprint, cards or touchless. Choose what suits your environment.

No Buddy Punching

Biometrics cannot be shared. Employees clock for themselves only.

Always Working

Offline operation, local storage, battery backup. Network failures do not lose data.

One System

Clocking terminals also provide access control and fire roll. One credential, one enrolment.

How It Works

How Time & Attendance Works

From clocking in to payroll-ready data in a few simple steps.

1

Present Credential

Employee presents face, fingerprint or card at terminal.

2

Verify Identity

System verifies identity against enrolled templates.

3

Record Clocking

Clocking recorded with timestamp and terminal location.

4

Store Locally

Data stored locally on terminal for resilience.

About Clocking Systems

The clocking terminal is where time and attendance data starts. Get it wrong and you spend years fighting inaccurate data, buddy punching and equipment failures. Synel offers multiple data capture technologies so you can match the terminal to your environment, workforce and security requirements.

Facial Recognition

Completely touchless clocking using 3D facial recognition. Ideal for food processing, healthcare and any environment where hygiene matters. Works in complete darkness using infrared. Cannot be fooled by photographs. Sub-second verification handles high-throughput shift changes.

Fingerprint

Proven biometric technology that eliminates buddy punching. Employees cannot clock for each other because fingerprints cannot be shared. Templates are encrypted mathematical representations, not images. Works well in manufacturing, warehousing and offices.

Card Clocking

RFID proximity cards and fobs are fast, reliable and familiar. Supports Mifare, HID and standard proximity technologies. Often preferred in schools where parental consent for biometrics adds complexity. Cards can also provide access control and cashless payments.

Touchless Options

For environments requiring zero contact, facial recognition provides fully touchless operation. Long-range RFID readers can detect cards without requiring employees to touch anything. Essential for food production where hand contamination must be prevented.

Choosing the Right Technology

The best choice depends on your environment. Food processing needs touchless. Construction sites need rugged outdoor terminals. Schools often prefer cards. High-security sites need biometrics. Many organisations use multiple technologies across different locations. Synel helps you select the right mix.

Offline Operation

All Synel terminals store data locally and continue working if the network fails. Clockings sync automatically when connection restores. Battery backup maintains operation during power outages. Your attendance data is never lost.

Integration

Clocking data feeds into Synergy Workforce for processing by the rules engine. Gross hours convert to net pay based on your shift patterns, overtime rules and absence policies. The same terminals can provide access control and fire roll data.

Time & Attendance FAQs

Common questions about time & attendance answered.

What is time and attendance software?

Time and attendance software automates the tracking of employee working hours, breaks and absences. It replaces manual timesheets with digital clock-in methods such as biometrics, cards or mobile apps.

The system provides accurate data for payroll processing and workforce management, eliminating manual calculations and reducing errors.

How does biometric time tracking work?

Biometric time tracking uses unique physical characteristics such as fingerprints or facial features to identify employees when they clock in or out.

The system captures a template of the biometric data during enrolment, then matches it each time the employee clocks. This eliminates buddy punching and ensures accurate attendance records.

Do clocking terminals work if the internet goes down?

Yes. Synel's data capture devices feature offline mode. If network connectivity is lost, terminals continue to verify users and store clocking data locally using their built-in memory.

Once connection is restored, data automatically uploads to the central server. No records are lost.

Devices also include battery backup to maintain operation during power outages, typically for up to two hours.

Is biometric data GDPR compliant?

Yes, when implemented correctly. Biometric data is classified as special category data under GDPR, requiring explicit consent and a lawful basis for processing.

Synel systems use encrypted templates rather than storing actual fingerprint images or photographs. These templates cannot be reverse-engineered to create an image.

Clear retention policies ensure data is deleted when employees leave, and the system supports the right to erasure.

What payroll systems does Synel integrate with?

Synel integrates with major UK payroll and HR systems including Sage, SAP, Oracle, Iris, Cascade, Pegasus and ADP.

Our open architecture allows integration with virtually any system that can accept data imports or has an API. The system exports approved hours directly to these platforms, reducing administrative time and eliminating manual data entry.

How long does implementation take?

Implementation timelines vary by project scope.

A single-site time and attendance deployment typically takes 2-4 weeks from survey to go-live. Multi-site or integrated access control projects may take 6-12 weeks.

Synel provides dedicated project management and on-site installation by our own engineers, not subcontractors.
