Access Control

Visitor Management: Professional Sign-In, Complete Visibility

Visitor management systems replace paper sign-in books with tablet-based check-in, automatic badge printing, and host notifications. Pre-register guests, track who's on site, and include visitors in fire reports.

The reality today

Paper sign-in books create queues, look unprofessional, and provide no real security. Reception calls interrupt meetings to announce arrivals. When the fire alarm goes off, the visitor book is stuck at an empty desk. You can't report on visitor patterns because the data is trapped in illegible handwriting.

The Solution

Visitor management captures who enters your site as it happens. Visitors sign in digitally, receive photo badges, and are added automatically to fire roll reports. Every visit is logged with time, photo, and host details, so safeguarding evidence is always available when it’s needed.

Professional First Impression

Sleek tablet sign-in replaces tatty paper books. Badges print automatically. Reception elevated.

Hosts Notified Instantly

Email alerts when guests arrive. No more interrupting calls. Hosts collect visitors when ready.

Fire Safety Included

Visitors included in evacuation reports automatically. Everyone accounted for, not just staff.

Data You Can Use

Searchable records of every visit. Reports on patterns, compliance data for audits.

About Visitor Management

Paper sign-in books look unprofessional and tell you nothing useful. Synergy Visitor replaces them with sleek tablet-based check-in, automatic badge printing, and instant host notifications. Pre-register guests, track who's on site in real-time, and include visitors in your fire evacuation reports.

Pre-Registration

Send email invitations to visitors ahead of meetings—individually or in bulk via CSV upload for events. When guests arrive, their information is pre-filled on the tablet, eliminating manual typing and reducing queue times. Returning visitors are recognised automatically, making repeat visits even faster.

Automatic Badge Printing

Once signed in, badges print automatically with visitor name, host, date, and QR code. No waiting for reception to find the label printer. At departure, visitors simply scan their badge QR code to sign out—no searching through lists or bothering reception staff.

Host Notifications

When a visitor completes sign-in, an email notification goes automatically to their host. No more reception calls interrupting meetings to announce arrivals. The host knows their guest is waiting and can collect them at their convenience.

Customisable Forms

Build visitor types and categories for effective management in high-footfall environments. Add mandatory fields and specific questions as required—NDA acceptance, health declarations, vehicle registration. Different visitor types can have different sign-in flows.

Fire Roll Integration

When linked to your fire system, Synergy Visitor includes all signed-in guests in the evacuation report. Fire wardens know exactly who's in the building—staff and visitors—without relying on paper books that might be left at abandoned reception desks.

Reporting

Generate reports based on specific criteria—visitor numbers by day, week, or month; visitors by host; overstays; frequent visitors. Full audit trail of who visited, when, and who they met. Data available for compliance and security reviews.

Flexible Deployment

Synergy Visitor runs as an Android app on most Android and Apple tablets. Synel supplies tablets with lockable desk-mount enclosures and approved label printers. Available standalone or as part of Synergy Workforce for complete integration with Access Control and Time & Attendance.

Multiple Markets

The flexibility of Synergy Visitor makes it suitable for commercial offices, hotels, leisure facilities, educational establishments, and any facility managing numerous visitors daily. Customise the experience to match your brand and requirements.

“We highly value having access to a dedicated Account Manager who we can speak to if we have any queries. This gives us peace of mind in knowing that we do not have to join a queue, as is often the case with other suppliers, to speak to someone at a central call centre, who may not be familiar with our way of working.”

Access Control FAQs

Common questions about access control answered.

Can visitors be included in fire evacuation reports?

Yes. Synergy Visitor automatically includes all signed-in guests in evacuation reports.

When the fire alarm triggers, fire wardens see a complete list of everyone on site. Staff and visitors, not just employees.

Visitor badges include QR codes for quick sign-out, and the system tracks exactly who is accounted for and who might still be inside.

How does emergency mustering work?

Emergency mustering provides instant roll call during evacuations. When a fire alarm activates, the system generates a real-time list of everyone on site based on access control and clocking data.

Fire marshals can mark individuals as safe using mobile devices or muster point readers. A central dashboard shows who is accounted for (Safe), who has not checked in (At Risk), and last known locations.

This replaces paper-based roll calls with real-time, accurate headcount data.

Can access control integrate with fire alarm systems?

Yes. Synel access control systems connect directly to building fire panels via the Adam Link controller.

Upon alarm activation, the system automatically unlocks designated doors, gates and turnstiles. Power is cut to magnetic locks, ensuring they fail-safe (unlock) instantly.

The system also generates instant roll call reports showing who is on site, supporting fire safety compliance and speeding up evacuation accountability.
