School Access Control: Safeguarding Through Smart Security

School access control from Synel helps schools protect pupils, staff and visitors without adding complexity. Entry is controlled, activity is logged, and safeguarding information is available when it is needed, not reconstructed afterwards.

The reality today

Keys get copied and shared. You do not know who is on site until you check the paper sign-in book. Visitors wander in without proper vetting. When the fire alarm goes, you are relying on class registers that may be ten minutes old. Ofsted asks about your safeguarding procedures and you cannot prove who entered or when.

The Solution

School access control records who enters your site as it happens. Students, staff and visitors are logged automatically, access rules are enforced throughout the school day, and accurate fire roll and audit data are always available to support safeguarding and inspection requirements.

Know Who Is On Site

Real-time visibility of students, staff, visitors and contractors. Accurate fire roll at the touch of a button.

KCSIE Compliant

Visitor vetting, DBS recording, audit trails. Evidence ready for Ofsted inspection.

Lockdown Ready

Lockdown and invacuation protocols built in. Martyn's Law compliance for larger sites.

Works With Your MIS

Integrates with SIMS, Arbor, Bromcom, iSAMS and Schoolbase. No duplicate data entry.

Validate

System checks enrolment status, time zone rules and access permissions.

3

Grant Access

Door unlocks if authorised. Denied if rules not met.

4

Log Entry

Entry logged with timestamp, location and identity.

About School Access Control

School access control is not just about locking doors. It is about safeguarding, KCSIE compliance, and knowing exactly who is on your site at any moment. Synel's EduReg system manages the flow of students, staff, visitors and contractors while integrating directly with your MIS.

Morning Arrival

The system handles high-volume throughput during arrival. Staff authenticate via biometric terminals or cards. Students register at classroom terminals or entry turnstiles. The system cross-references with your MIS to validate current enrolment status. If a student is marked absent in SIMS, their fob will not open the gate.

Time Zones and Calendars

Define specific access rules for the school day. Main gates automatically unlock for drop-off and lock when the bell rings. Doors to restricted areas like server rooms, exam stores and science labs remain locked to students at all times. Parents evening, after-school clubs, and term dates all handled through calendar integration.

Visitor and Contractor Management

Schools must vet every person entering the site. Synel provides a visitor kiosk where guests sign in, capture a photo, and the system checks against safeguarding watchlists. DBS status can be recorded for contractors. Badges print with photo and expiry time. Full audit trail for Ofsted.

Lockdown and Invacuation

In a threat scenario, the system can trigger a lockdown. Access control locks specified perimeter doors to keep threats out while allowing internal movement, or locks down zones to isolate a threat. This is increasingly required under Martyn's Law for larger campuses and colleges.

Fire Roll and Mustering

Upon alarm activation, the system instantly generates a roll-call list from registration data. Fire marshals access this via mobile app. Everyone on site is accounted for, including visitors and contractors, not just students on the class register.

MIS Integration

EduReg integrates with major UK school MIS providers including SIMS, Arbor, Bromcom, iSAMS and Schoolbase. Student and staff data syncs automatically. No duplicate entry, no mismatched records. The MIS remains your single source of truth.

Hardware Options

RFID cards and fobs work well for primary and secondary schools as they are durable and avoid parental concerns about biometrics. For sixth form and colleges, fingerprint or facial recognition prevents lost card issues. Wireless locks from Salto allow internal doors to be secured without expensive hard-wiring. Turnstiles prevent tailgating at main entrances.

Offline Mode

If the school network goes down, doors still work. Data is stored locally until connection is restored. This resilience is critical in older buildings with unreliable infrastructure.

Education FAQs

Common questions about education answered.

What is KCSIE and how does access control help?

Keeping Children Safe in Education (KCSIE) is statutory guidance for schools in England.

Access control supports KCSIE compliance by ensuring only vetted individuals can access school premises. It maintains visitor logs with photo ID and provides audit trails demonstrating safeguarding procedures are followed.

This evidence is essential for Ofsted inspections.

What MIS systems does Synel integrate with for schools?

Synel integrates with major Management Information Systems including SIMS, iSAMS, Schoolbase, Tribal, EBS and Compass.

It also connects with cashless payment providers such as ParentPay, WisePay, Tucasi and Squid for a fully integrated school management solution.

How does school lockdown work with access control?

In a threat scenario, access control can trigger lockdown from a central point or panic button. Perimeter doors lock to prevent entry. Depending on the threat, internal doors can remain operational for invacuation to safe zones, or lock down completely to isolate areas. Staff receive alerts via mobile app with instructions. The system knows who is in each zone, helping coordinate the response. This capability is increasingly required under Martyn's Law for larger campuses.

How does school fire roll work with electronic registration?

When the fire alarm sounds, the system generates an instant roll call from registration data. Fire marshals access this via mobile app, seeing everyone currently on site: students, staff, visitors and contractors. This is more accurate than paper class registers which may be minutes or hours out of date. Marshals can mark people as accounted for on their phones. A central dashboard shows who is still missing.

Do schools need parental consent for biometrics?

The Protection of Freedoms Act 2012 requires schools to obtain written consent from at least one parent before processing a child's biometric data. Either parent can object, and schools must provide an alternative such as a card or PIN. For this reason, many primary and secondary schools use RFID cards rather than biometrics. Sixth forms and colleges with older students often use biometrics as students can consent themselves at 18.

Can visitors be included in fire evacuation reports?

Yes. Synergy Visitor automatically includes all signed-in guests in evacuation reports.

When the fire alarm triggers, fire wardens see a complete list of everyone on site. Staff and visitors, not just employees.

Visitor badges include QR codes for quick sign-out, and the system tracks exactly who is accounted for and who might still be inside.
